When is QuickBooks the best fit?

When you want the software most US bookkeepers and accountants already know, built-in payroll, inventory tracking on higher plans, and integrations with most US e-commerce and payment tools. Its plans limit the number of users, so a growing team may need a higher plan.

When is Xero the best fit?

When several people need access, since every plan allows unlimited users, or when you deal in several currencies, for example a non-resident running a US LLC with clients and suppliers abroad. Xero is also widely used by accountants outside the US. In the US, payroll runs through partner providers. The entry plan has limits on invoices and bills, so check whether it fits your volume.

When is Wave the best fit?

For freelancers and very small service businesses that want free invoicing and simple double-entry books, and are willing to upload bank statements themselves. Since June 1, 2026, automatic bank feeds, receipt scanning and access for a bookkeeper or other users require the paid Pro plan. For anyone needing inventory, multi-currency or a team, QuickBooks or Xero usually fits better.

How should you choose?

    Users, payroll, inventory, currencies and sales channels.

  2. Ask your accountant

    Working in software they know saves time and fees.

  3. Check integrations

    Shopify, Amazon, Stripe, PayPal and your bank.

  4. Try before committing

    Use a free trial with a month of real transactions.

  5. Plan the year

    Switching mid-year is possible but cleaner at a year end.

Check also whether the software supports the reports your lender or investors want, and whether it can handle sales tax for your own store or relies on another app.

What about other options?

FreshBooks and Zoho Books are common alternatives, the first popular with service businesses that invoice by time, the second with businesses already using other Zoho tools. Very small freelancers sometimes use spreadsheets, which works only with disciplined monthly reconciliation.

Do online sellers need extra tools?

What about switching later?
